- Assist in the execution of project activities as outlined in the project plan. This may include organizing events, workshops, or meetings related to the project, coordinating logistics, and ensuring smooth implementation.
- Help in monitoring project progress and collecting relevant data to assess the impact of activities. This involves documenting outcomes, gathering feedback from stakeholders, and contributing to progress reports.
- Facilitate communication and collaboration among project team members, partners, and stakeholders. This includes scheduling meetings, preparing agendas, taking minutes, and following up on action points.
- Maintain accurate records and documentation related to project activities, including budgets, reports, and correspondence. Ensure that all documentation is organized and easily accessible for reference.
- Assist in identifying and addressing challenges or issues that arise during project implementation. Work with the Program Officer and project team to develop solutions and overcome obstacles.
- Ensure compliance with organizational policies, procedures, and donor requirements throughout the project lifecycle.
- Perform any other duties assigned by the Program Officer or project management team to contribute to the overall success of the project.
- Education:
- Work Experience:
- Experience of working in the humanitarian field is essential.
- Experience of working with refugees, IDPs and other vulnerable communities.
- Experience in project management and understanding of planning, implementation, monitoring and evaluation processes.
- Ability to communicate effectively with team members and various stakeholders at all levels.
- Ability to plan, organize activities, and manage time effectively to achieve set goals.
- Ability to adapt to rapid changes and flexibility in dealing with changing adaptation.
- The ability to analyze problems and propose innovative solutions to overcome challenges.
- Commitment to performing tasks accurately according to required deadlines and standards, and ability to work independently and assume responsibility.
- Languages:
- Professional fluency in spoken and written Arabic and Kurdish are essential.
- English is highly desirable.

- Work within the project work plan in coordination with the direct supervisor.
- Conducting quantitative and qualitative field monitoring and verifying the implementation of project activities.
- Preparing reports according to the project plan and the MEAL plan.
- Previous experience working in M&E or humanitarian context, is highly desirable. This may include experience conducting surveys, interviews, focus group discussions, or other data collection activities in the field.
- Follow up the collection of data related to the implementation of project activities by documenting and archiving them through the approved monitoring forms.
- Follow up on closing recommendations resulting from monitoring reports.
- Follow up on the project Indicators Tracking Matrix.
- Documenting and archiving both paper and electronic documents of all project activities.
- Education:
- Work Experience:
- Experience of working in the humanitarian field is essential.
- Experience of working with refugees, IDPs and other vulnerable communities.
- Experience in collecting quantitative and qualitative data.
- Strong understanding of M&E principles, methodologies, and techniques is essential. This includes knowledge of data collection, analysis, interpretation, and reporting
- Knowledge of basic statistical methods and confident in applying these to large data sets.
- Effective communication skills, both verbal and written, Ability to work effectively in a team environment and collaborate with colleagues, partners, and stakeholders.
- IT literate with particularly strong skills in Microsoft word and Excel.
- Languages:
- Professional fluency in spoken and written Arabic and Kurdish are essential.
- English is highly desirable.

- Ensure proper functioning and maintenance of the office and warehouse.
- Assist to track facilities agreements.
- Oversee the housekeeping and maintenance of office and warehouse, both inside and outside.
- Ensure office and warehouse are in compliance with SHAR health and environmental standards.
- Ensure office is run in responsible manner including hosting guests, and

- Run the office day by day and make sure that the premises are up to SHAR SOPs.
- Liaise with Logistics for organizational events such as meetings, refreshments, and necessary equipment.

- Procure supplies for the office and warehouse, monitoring consumption using proper stock record systems.
- Ensure that space, motivation, and incentives are provided to staff to develop and innovate.
- Supervise housekeeper, ensuring adherence to cleanliness and safety standards.
- Education: Bachelor's Degree in Administrative Management or relevant field.
- Work Experience: Minimum one year of experience in relevant fields non-governmental organizations preferred.
- Excellent communication skills.

- Supply Chain:
- Procure supplies in compliance with procurement policies and donor regulations.
- Coordinate procurement processes from request to delivery.
- Participate in tendering processes and purchase committee meetings.
- Maintain an approved supplier list and ensure supplier compliance.
- Support procurement planning and market surveys.
- Collaborate with Finance Department for timely vendor payments.
- Identify and suggest improvements in the procurement system.
- Transport:
- Ensure appropriate transport conditions and coordination with logistics teams.
- Coordinate with third-party transport companies when necessary.
- Facilitate permissions clearance for transported goods.
- Asset Management:
- Ensure procurement of assets in compliance with donor regulations.

- Fleet and Movements:
- Maintain and manage the vehicle database.
- Supervise transport remotely.
- Ensure vehicles are equipped as per health and safety standards.
- Analyze and report on fleet data.
- Coordinate border pick-ups and drop-offs.
