JOB OVERVIEW/SUMMARY:

 

We are seeking a Logistic Assistant to join our Operations Department in our Qamishli office. The role involves managing supply chain activities, asset management, reporting, fleet and movements coordination, and providing support in various administrative functions.

 

Key Responsibilities:

 

  •  Supply Chain:

 

  • Procure supplies in compliance with procurement policies and donor regulations.
  • Coordinate procurement processes from request to delivery.
  • Participate in tendering processes and purchase committee meetings.
  • Maintain an approved supplier list and ensure supplier compliance.
  • Support procurement planning and market surveys.
  • Collaborate with Finance Department for timely vendor payments.
  • Identify and suggest improvements in the procurement system.

 

  • Transport:

 

  • Ensure appropriate transport conditions and coordination with logistics teams.
  • Coordinate with third-party transport companies when necessary.
  • Facilitate permissions clearance for transported goods.

 

  •  Asset Management:

 

  • Ensure procurement of assets in compliance with donor regulations.
  • Liaise with stakeholders and maintain accurate asset management documents.
  • Update Asset Register Form as per procured items.
  •  Reporting:

 

  • Contribute to monthly reports as required by the Operations Director.
  • Review procurement trackers and share relevant data with stakeholders.
  • Report any issues or non-compliance to the Operations Director.
  • Provide quarterly reports on supplier database and market analysis.
  • Support in audit preparation.

 

  •  Fleet and Movements:

 

  • Maintain and manage the vehicle database.
  • Supervise transport remotely.
  • Ensure vehicles are equipped as per health and safety standards.
  • Analyze and report on fleet data.
  • Coordinate border pick-ups and drop-offs.

 

QUALIFICATIONS:

 

Education: : Bachelor’s Degree in Administrative Management or relevant field.

Work Experience: Minimum one year of experience in relevant fields non-governmental organizations preferred.

Excellent communication skills.

Languages: good in spoken and written English, fluency in spoken and written Arabic.
